Privacy Policy

ZipCare Ltd (“we”, “our”, or “us”) is the controller of the personal data described in this policy. We are registered in England and Wales, company number 14500620, and our registered office is 71–75 Shelton Street, Covent Garden, London WC2H 9JQ.
We are committed to protecting your personal data in accordance with UK data protection law, including the UK GDPR and the Data Protection Act 2018.
For anything to do with your data — a question, a correction, a copy of what we hold, a request to delete, or a complaint — email contact@zipcare.co.uk or write to us at the address above. A person reads it, and you don't need any special form of words.
1. Information we collect
We collect the following information when you submit your details via our website:
- Name and email address
- Whether you are a carer or a family/client
- Your region and nearest town (to plan where we launch)
- Postcode area: the first part of your postcode only (optional), so we can tell you when we launch near you
- Phone number (optional), only if you give it, and only used to contact you about launch if you tick the phone-contact box
- Any information you include in messages or optional questions
- Your marketing preferences (whether you'd like updates by email, and separately by text or call)
- Basic technical information that arrives with any web request, such as your browser's user-agent string. We record IP addresses in our own logs only where a request is blocked by our anti-abuse checks, for security. Separately, our hosting provider keeps its own short-term operational logs of requests, which include the IP address they came from
- How you reached us, such as a shared link or referring site
Postcode and phone are optional. Leaving them blank does not affect your place on the waitlist.
If you sign up or ask for a copy of your rate card from our calculator, a short summary of the figures from that session is attached to your enquiry, so that what we send you matches what you saw. We tell you this at the point you ask.
Our calculator keeps an anonymous record of each use, so we can build honest pay averages for the sector and improve the tool. Described by category, that record covers:
- The answers you give, and the figures the tool works out from them
- How you used the tool: how far you got, what you chose, and which parts you interacted with
- Anything you choose to tell us, such as optional feedback on the maths
- How you arrived at the page, for example a link someone shared with you
It contains no name, email, contact details or IP address, and nothing about your employer, which we never ask about. It is not linked to your identity and we cannot use it to contact you. We describe this record by category rather than listing every field, because the detail of what the tool measures is commercially sensitive. If you would like to know exactly what one of these records contains, email contact@zipcare.co.uk and we will tell you.
We do not collect or process sensitive personal data (such as health or care records) through this website.
2. How we use your information
- To contact you about the launch of ZipCare
- To tell you when ZipCare launches in your area (by email, and by text or call only if you've told us that's OK)
- To share relevant updates about services or roles you expressed interest in (only with your consent)
- To understand demand and plan where and when we launch
- To respond to enquiries submitted through our contact form
- To assess applications for roles with us (see section 9)
- To keep the website working and protect it from automated abuse
We do not use your data for automated decision-making or profiling.
3. Legal basis for processing
- Consent: for sending you launch or marketing updates by email, and (separately) by text or phone. We ask before using your phone number, and you can withdraw at any time.
- Legitimate interests: to run the waitlist you asked to join, to understand demand, to plan where and when we launch, to keep the website secure, and to assess applications for roles with us.
- Steps prior to entering a contract: where you apply for a role and we take the application forward.
You may withdraw your consent, or object to processing based on legitimate interests, at any time.
4. Data storage and security
Your data is stored using third-party service providers, including:
- Vercel Inc (website hosting and backup form storage)
- n8n (workflow automation that routes your sign-up to our records)
- Google Sheets (where waitlist and contact details are held)
- PostHog (EU-hosted website analytics, only if you allow analytics on our consent banner — see section 8)
- A separate recruitment platform, if you apply for a role with us (see section 9)
We implement appropriate technical and organisational measures to protect your data, including access controls and secure storage practices.
5. Where your data is processed
Some of our providers process data outside the UK:
- n8n, which routes your sign-up into our records, stores data in the European Union (Frankfurt)
- PostHog, our optional analytics tool, stores data in the European Union (Frankfurt)
- Vercel, which hosts this website and holds the backup copy of form submissions, is a US company and currently processes this data in the United States
- Google, which provides the spreadsheet where waitlist and contact details are held, may process data outside the UK
Where personal data leaves the UK we rely on the safeguards UK law recognises: the UK International Data Transfer Addendum to the European Commission's standard contractual clauses (or the UK IDTA), which form part of our providers' data processing terms, and, where a provider is certified under it, the UK Extension to the EU–US Data Privacy Framework. Email contact@zipcare.co.uk if you would like details of the safeguards that apply to your data.
6. Sharing your data
We do not sell your data. We only share data with trusted service providers necessary to operate our website and communications.
We may also share your data where the law requires it — for example in response to a court order or a request from a regulator — and, if ZipCare is ever sold, merged or reorganised, with the party taking over the business, which would remain bound by this policy until you are told otherwise.
7. Data retention
We keep your waitlist details until we launch in your area and you've had a chance to sign up, or for 24 months from the day you joined, whichever comes first, after which we delete them. You can ask us to delete your details, or to remove just your phone number or postcode, at any time by emailing contact@zipcare.co.uk.
Messages sent through our contact form are kept for up to 24 months from your last contact with us, then deleted. Job applications are held on the recruitment platform described in section 9, under the retention period set out in its own privacy information. The anonymous calculator records described in section 1 contain no personal data, so they are not covered by these periods and cannot be traced back to you or deleted on request.
Security and operational logs, including the IP addresses described in section 1, are short-lived and are deleted automatically.
8. Analytics
There are two separate things here, and we think the difference matters.
- Third-party analytics (optional): we only load these if you choose “Allow analytics” on our consent banner. If enabled, we use a privacy-focused tool (PostHog, EU-hosted) to understand how the site is used. Declining changes nothing about how the site works.
- Anonymous calculator records (always on): as described in section 1, each use of the calculator is recorded anonymously so we can publish honest averages for the sector and fix the parts of the tool people tell us are wrong. This uses no cookies and no tracking identifiers, stores no name, email or IP address, and cannot be traced back to you. Our legal basis is legitimate interests, and because the record is anonymous it is not personal data once stored.
If you would rather not contribute an anonymous calculator record at all, simply don't use the calculator: nothing else on the site creates one.
9. Recruitment
We advertise roles externally and handle applications on a separate recruitment platform, which provides its own privacy information covering what it collects and how long it is kept. This website collects nothing about job applicants: there is no application form here, and we do not accept CVs or applications sent to any zipcare.co.uk email address, so please don't send them. Anything you do submit through the recruitment platform is used only to assess your application.
10. Your rights
You have the right to:
- Ask for a copy of the personal data we hold about you
- Have inaccurate data corrected
- Have your data deleted
- Ask us to restrict how we use your data, or object to us using it — including an absolute right to object to direct marketing, which we will always honour
- Receive the data you gave us in a portable, machine-readable format, or have it sent to another provider
- Withdraw your consent at any time, which does not affect anything we did before you withdrew it
- Complain — see section 11
To use any of these, email contact@zipcare.co.uk. We may ask you to confirm your identity first, so that we don't hand over or delete someone else's details.
We will respond within one month of receiving your request. If your request is complex, or you have made several, we may need up to two further months — we will tell you within the first month if that applies, and why. There is no charge.
11. Complaints
If you are unhappy with how we have handled your personal data, please tell us first: email contact@zipcare.co.uk, ideally with “data complaint” in the subject line — though you don't have to, and we will treat a complaint as a complaint however it reaches us. We will acknowledge it within 30 days, look into it properly, and tell you what we have decided and why.
You can also complain to the Information Commissioner's Office, the UK's data protection regulator, at any time — before, during or after complaining to us. Visit ico.org.uk/make-a-complaint or call 0303 123 1113. Complaining to us does not affect your right to go to the ICO, or to seek a remedy through the courts.
12. Age
This website is meant for adults. Please don't send us your details if you are under 18. We don't knowingly collect personal data about children, and if you believe a child has given us their details, email contact@zipcare.co.uk and we will delete them.

We may update this policy periodically.
